Wedding Flower FAQs: Costs, Booking, Set Up & What to Expect
Planning your wedding flowers comes with a lot of questions - and we believe you deserve clear, honest answers. From understanding the average cost of wedding flowers to knowing when to book your florist, what a consultation includes, or whether there’s a minimum budget required, we’re here to guide you through it. On this page, we’ll walk through the most common questions couples ask about wedding floral design, set up services, arches, real flowers, timelines, and more - so you can feel confident and informed every step of the way.
What is the average cost for wedding flowers in PA?
If you’re planning a wedding in Pennsylvania, one of the first questions you’ll likely ask is, “What is the average cost for wedding flowers?” The honest answer is that it varies - but understanding the range can help you plan with confidence.
Most wedding planning guides recommend setting aside 8–12% of your total wedding budget for flowers. For some couples, that may mean investing around $800–$1,500 for personal flowers and simple centerpieces. For others planning larger guest counts, elaborate ceremony installations, or full reception designs, floral budgets often fall in the $3,000–$8,000+ range.
Your final investment depends on a few key factors:
-
Guest count and number of tables
-
Ceremony features like arches, urns, or aisle florals
-
Reception style and centerpiece scale
-
Flower selection and seasonality
-
Delivery, set up, and logistics
In Pennsylvania especially, pricing can also be influenced by season, weather conditions, and availability of specific blooms. Premium flowers such as peonies, garden roses, orchids, or specialty dahlias naturally cost more than in-season staples. Design complexity and installation mechanics for large arches or hanging pieces will also impact the overall total.
That said, your floral budget doesn’t have to be “all or nothing.” A thoughtful design approach allows you to prioritize what matters most. Many couples choose to invest in high-impact moments, like the bridal bouquet or ceremony backdrop, while keeping reception tables elegant but streamlined. Repurposing ceremony flowers for the reception is another smart way to maximize your investment.
Ultimately, the “average” cost is less important than building a plan that feels aligned with your priorities. Your flowers should reflect your personality, complement your venue, and fit comfortably within your overall wedding budget.
We offer free wedding flower consultations to walk through your vision, discuss seasonal options, and create a transparent, customized proposal. Every wedding is different - and your floral plan should be, too.
Will Hatfield Florist do the floral setup at my venue?
Yes, we can absolutely provide delivery and on-site set up for your wedding day.
We know that wedding florals are more than bouquets dropped off in boxes. From placing ceremony arrangements exactly where they belong to styling reception tables with centerpieces, candles, and personal flowers, our team ensures everything is thoughtfully arranged and photo-ready.
Set up may include:
-
Delivery to your ceremony and reception venue
-
Placement of arches, urns, and ceremony installations
-
Styling of guest tables, sweetheart tables, and cake flowers
-
Coordinating with your venue team for timing and layout
Because every venue and wedding layout is different, logistics such as guest count, access times, installation scale, and breakdown needs are factored into your custom proposal. We’ll walk through these details during your consultation so you know exactly what to expect.
Our goal is simple: you shouldn’t be worrying about where the flowers go on your wedding day. We handle the details so you can focus on celebrating.
Can you do a wedding flower arch?
Yes, we absolutely design wedding flower arches and ceremony installations.
A floral arch creates a natural focal point for your vows and frames one of the most photographed moments of your day. Whether your style leans romantic and airy or rich and dramatic, we custom-design each arch to reflect your season, venue, and vision.
For example, our winter ceremony arch featured deep red roses, blush blooms, evergreens, pinecones, berries, and layered textures for a warm, seasonal look. The florals cascaded asymmetrically across a wooden structure, creating depth and movement while complementing the indoor venue’s rustic setting.
In contrast, our late summer pergola design embraced a softer palette of ivory hydrangeas, champagne roses, and flowing greenery. Installed on an outdoor arbor surrounded by trees, the flowers felt organic and garden-inspired, enhancing the natural backdrop rather than competing with it.

From full floral coverage to partial installations on corners or pillars, we design arches that:
-
Fit your venue layout
-
Reflect your seasonal color palette
-
Work within your floral budget
-
Can often be repurposed for the reception
During your consultation, we’ll discuss structure options, mechanics, delivery, and on-site installation so everything is secure and seamless. Whether you’re planning a winter wedding in Bucks County or a late summer celebration in Montgomery County, we’ll design a ceremony arch that feels intentional, beautiful, and uniquely yours.
Do you have a consultation fee?
No, Hatfield Florist does not have a consultation fee for our wedding clients nor do we have a minimum budget for wedding flowers.
After inquiring with us (which you can do by filling out our contact form or emailing us at weddingshf@gmail.com) and we confirm our availability for your wedding date and venue, we are happy to talk with you to start dreaming and planning your special day! We’ll discuss all the fun details, everything from your bouquet shape and flower preferences to ceremony décor, centerpieces, and special touches. We can even provide you with pricing examples and ideas that reflect your budget and priorities.
During the consultation process, you can share ideas with us via email or even a Pinterest board. The more we learn about your story and your style, the more personalized your floral plan will be. Once we’ve reviewed your details and talked together, our team creates a custom floral proposal tailored to your needs.
When should I book my wedding florist?
The best time to book your wedding florist is about 9-12 months ahead of time (especially if your wedding date is in peak season or during a holiday), however, we often work with couples that are 3-4 months away from their wedding. If you do book 9-12 months in advance, you usually don’t need to start planning the details of your flower bouquets and arrangements until 3-4 months out. As with most aspects of your wedding planning process, it’s helpful to start early because you never know what surprises might come up!
What’s your cancellation policy?
There is a $100.00 deposit to book the date and guarantee pricing which is nonrefundable. Cancellations that are made at least 2 weeks prior to when the flowers are ordered will not incur a charge for the couple.
